Meetings

Events can be considered a meeting if meeting information is created for an item. Meeting information can be displayed or modified with a long-press in the Event Selection List and a tap on the item SHOW ATTENDEE INFORMATION. To create meeting information or modify existing meeting information, you can also use the Edit Dialog.

To access meeting information, scroll down to the very bottom of the Edit Dialog for the field labeled Mtng. The button there tells you how many attendees there are currently for the meeting in parentheses -- such as Meeting Attendees(4). If there are no attendees, the button displays Add Attendees. Tap the button to get a scrolling list of all the meeting attendees. Each attendee's email address is shown, followed by their role in parenthesis. Underneath that, their name is displayed (if present). An icon to the left of the name indicates the status of that meeting's attendee:

Empty box - indicates an attendee who has been invited but has not responded

Box with checkmark - indicates an attendee who has accepted invitation

Box with X - indicates an attendee who has declined the invitation

?? - indicates an attendee who has tentatively accepted the invitation.

To add a new attendee, either tap the Add button which allows you to enter each of the four fields manually (Name, email address, status and role), or tap the Add from Contacts button which brings up the contacts database and allows you to insert an attendee directly from that database.

You can also tap an attendee in the list to bring up the Meeting Edit dialog which has buttons to Remove the attendee from this meeting, or Email the attendee (the latter invokes your email program and presets the email address from the attendee and the subject line from the title of the appointment itself.

Note: this feature did not exist in earlier versions of Pimlical, so if you have an earlier version of Pimlical Installed, you may not see the popup command to display the Attendee information. In that case, you would need to go into the Pimlical folder on the phone and delete the file: Default.txt. Then launch Pimlical and go into Commands/Functions section and edit the preference PopupListCommandsForEvent to include this new popup command.

The built-in calendar application in Android usually makes all appointments a meeting - which is annoying as Google Calendar then displays every event as a meeting. Pimlical/Android only makes an appointment a meeting if the sync type is 'exchange' (i.e. syncing with an exchange server) as if the item is not marked as a meeting, Exchange makes it a meeting and then sends out emails. There is a preference in Pimlical/Android: NoMeetingIconIfOnlyOneAttendee which is defaulted to true and which only displays the meeting icon on an event if there are two or more attendees. If this preference is set, the popup command to display meeting attendees will indicate there are no attendees if there is only one attendee for the meeting (on the assumption that a valid meeting must have two or more attendees to be relevant). Note that the Edit Dialog will display MeetingAttendees(1) in this case (so if you want to remove that one attendee, there is a way to do that without having to change that preference setting).
